2.1 Account and Contact Information

Name (if provided), email address, password (stored in hashed form), and account preferences

Organization name and formation details you enter (e.g., state, officers)

2.2 Customer Content

“Customer Content” includes the information and files you upload, create, or store in the Service, such as:

nonprofit formation data, board/structure details, programs, logic models, indicators, SWOT/risk plans

grant opportunities, pipeline notes, proposal drafts, checklists, attachments uploaded to your document vault

2.3 AI Inputs and Outputs

When you use AI-enhanced features:

AI Input: text and context you provide (which may include Customer Content)

AI Output: generated drafts/suggestions/results returned to you
AI Input and AI Output are treated as Customer Content for purposes of this Privacy Policy.

2.4 Usage and Device Data

We may collect information about how the Service is used, including:

feature usage, pages viewed, clicks, referring URLs

device/browser type, operating system, IP address, approximate location (derived from IP)

logs relating to errors, performance, and security events

2.5 Cookies and Similar Technologies

We use cookies and similar technologies for authentication, session management, and analytics. You can control cookies through your browser settings, but some features may not function properly without cookies.

2.6 Payment Information

Payments are processed by third-party payment processors. We typically receive limited billing details (e.g., subscription status, last four digits, billing address if provided), but we do not store full payment card numbers.


3. How We Use Information

We use information to:

provide, maintain, and improve the Service

create and manage accounts, authenticate users, and process subscriptions

generate documents, proposals, and workflow outputs you request

provide AI-assisted drafting and guidance features

communicate with you about service updates, security notices, billing, and support

monitor and protect against fraud, abuse, security incidents, and misuse

comply with legal obligations and enforce our Terms of Service


4. How We Share Information

We do not sell your Customer Content.

We may share information in limited circumstances:

4.1 Service Providers

We use vendors to help operate the Service (e.g., hosting, storage, analytics, email delivery, customer support tools, payment processing). These vendors process data on our behalf and are required to protect it consistent with this Policy and applicable law.

4.2 AI Service Providers

Some AI features may be provided through third-party AI providers. When you use AI features, your AI Input (which may include Customer Content) may be sent to those providers solely to deliver AI functionality. We require appropriate confidentiality and security protections from such providers.

4.3 Legal and Safety

We may disclose information if we believe it is necessary to:

comply with a legal obligation, court order, or lawful request

protect the rights, safety, and security of users, the public, or the Company

investigate and prevent fraud, abuse, or security incidents

4.4 Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction subject to standard confidentiality protections.


5. Customer Content Ownership and Control

You own your Customer Content. You can access, edit, export, or delete Customer Content within the Service, subject to Service functionality and your subscription plan.

If you delete Customer Content, we will take reasonable steps to remove it from active systems, though it may remain in backups for a limited period as part of routine backup and disaster recovery practices.


6. AI-Specific Practices

6.1 Verification and Accuracy

AI outputs may be inaccurate or incomplete. You should verify deadlines, eligibility requirements, compliance guidance, and proposal content before using it.

6.2 Model Training

By default, Customer Content is used to provide the Service to you and is not used to train public general-purpose AI models. If we offer an optional program to use Customer Content to improve models, we will provide a clear opt-in mechanism.

6.3 Sensitive Information

Please avoid submitting highly sensitive personal information to AI features unless necessary for your use case and you are comfortable storing it within the Service.


7. Data Retention

We retain information as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary depending on the type of data and your subscription status.


8. Security

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, loss, misuse, or alteration. No system can be guaranteed to be 100% secure.


9. Your Choices

9.1 Account Preferences

You may update your profile, notification preferences, and related settings within the Service.

9.2 Communications

You may opt out of non-essential emails. Service-related emails (e.g., security, billing) may still be sent.

9.3 Cookies

You can control cookies via your browser settings. Disabling cookies may limit functionality.


10. Children’s Privacy

The Service is not intended for children under 13, and we do not knowingly collect personal information from children under 13.


11. International Users

If you access the Service from outside the United States, you understand your information may be processed in the United States or other locations where our service providers operate.
